We are currently looking for an HR & Personal Assistant with organisational skills to join our team and we will RESPECT with a high priority all applicants who are long-term commitment-oriented, who possess the ability to bridge people and business, and welcome the opportunity to facilitate it.

The role:

  • Contacts: Act as the point of contact among executives, employees, clients, and other internal and external parties;
  • Communication: Screen and direct phone calls and distribute correspondence. Format information for internal and external communication – announcements/memos, emails, presentations, reports;
  • Trips: Make travel and accommodation arrangements, business trip end-to-end organization and reports for employees’ business trips;
  • Diaries: Manage executive’s business and personal calendars and set up all types of meetings, events, engagements;
  • Meetings: Take minutes during meetings. Prepare all types of equipment and materials, such as hand-outs, presentations, media requests, etc.;
  • Documents: Organize the office filing system and maintain all types of documentation;
  • Vendors: Manage information flow in a timely and accurate manner. Maintain the data base of providers, contractors, etc.;
  • Office: Act as an office manager by keeping up with office supply inventory, office maintenance and car fleet support. Look after the implementation of the health and safety rules;
  • Employees’ Engagement: Plan and coordinate events and activities that foster a sense of community and camaraderie among employees. These may include team-building exercises, social gatherings, professional networking, trainings, and volunteer opportunities;
  • On-boarding: Support onboarding processes by partnering with hiring managers to ensure new employees are properly equipped, warmly welcomed and quickly immersed in their departments; ** Benefits: Take care of employees' benefits such as food vouchers, additional health insurance, mental health support programs, multisport and other perks. Any recommendations, proposals, benefit analyses and reports are more than welcome;
  • Reports: Rack daily expenses and prepare weekly, monthly, or quarterly reports. Adhere and optimize the budget.

Requirements:

  • Communication and Language Skills: Ability to facilitate and diplomatically say “No” to stakeholders at all levels, including executives and C-level personnel. Excellent verbal and written communication abilities implied in listening, negotiation, and problem-solving skills. Excellent command of English language, second language is a plus;
  • Professional Demeanor and Stamina: Business behavior and professional appearance, discretion, and confidentiality. Outstanding organizational and time management skills. Completer/Finisher;
  • PC and Office Equipment Literacy: Excellent MS Office knowledge. Familiarity with office gadgets and applications (e.g., e-calendars, Jira, etc.);
  • Enthusiasm: Eagerness to build a successful career in the health-tech industry.
  • Mobility: Driving License Cat. B is a must.

What we will value but NOT insist on:

  • Knowledge: BA/BS degree or equivalent in business administration, human resources, psychology, language studies or a related field. PA diploma or certification is a plus. Experience: Work experience as an HR/Office/Administrative/Personal/Executive Assistant, or a similar role.
  • Interest: Curiosity in pharmaceutical industry, biotech, healthcare, medicine, or other similar natural sciences is a plus.
