Team Executive Assistant

We are currently looking for highly motivated professional who would like to join our team in the role of Team Executive Assistant in Sofia. The Team Executive Assistant will support one of the most influential teams in the company, working closely with senior leaders, ensuring smooth operations for the senior vice president of the group and in particular the first reports of his team by handling day-to-day activities. Travel requirements, possibly to Zurich or London, would be minimal.
Main responsibilities:
- For the SVP’s first reports:
- Coordinate meetings with large participant groups (internal and external).
- Organize travel bookings (flights, trains, rental cars, and hotels, required meeting rooms, badges, parking space, etc.)
- Assist with project specific management & coordination support
- Prepare power point presentations, and reports for dedicated specific projects
- Promote team-building and ensure seamless interaction among colleagues
For the senior vice president specifically:
- Act as direct point of contact for the SVP
- Maintain and manage the SVP's diary, appointments, incoming request and reminders
- Validate travel bookings and employee invoices
- Oversee approval of employee absences
- Schedule and coordinate team calls and one-on-one meetings
- Handle travel expenses reimbursements
Experience & Competences
- Minimum 3 years of experience as a Personal Assistant, Team Assistant, or Office Manager in an international organization
- Proficiency in Microsoft Office, particularly PowerPoint and Excel
- Strong planning and time management skills
- Excellent verbal and written communication skills in English
- Positive, proactive, and approachable attitude
- High level of discretion and confidentiality
- Ability to work in a hybrid model in Sofia
